Windsor Life Page 4 How to have a voice in WG decision-making I always enjoy the “Meet the Candidates” events prior to the annual board election here at Windsor Gardens. If you have not attended these events, I recommend you make it a part of your schedule in the years to come. For me these events are an opportunity to hear the questions, concerns and even misconceptions that prevail in this community. Next month I will address, from the perspective of management, the many topics of concern that were brought up at this year’s board candidate forums. This month I’d like to remind you how you can have a voice in the decision-making process of your community. Committees are the back bone of decision-making in this community. As we approach the election season, a full understanding of the Windsor Gardens committee process is helpful. Windsor Gardens has 17 committees, and each of these oversees different aspects of life and governance at Windsor Gardens. Issues are brought before these committees by the owners, other community members, management and the Board of Directors. In December the committees will once again be open to new non-board members, which are appointed by the president of the board of directors. Where do I fit into this process if I'm not a member of a committee or the board? All members of the association are welcome to attend any meetings of the association. Committee meetings are scheduled by the Board of Directors and listed in Windsor Life each month. They are also listed on the Windsor Gardens website. Every meeting has an agenda decided upon by the committee chairperson prior to the meeting, and the agenda is posted on the association website. Some committees meet every month, many do not. Check out our website to determine what committees are meeting and what they will be discussing. You can verify with the administration office just prior to a meeting that the meeting dates and times have not changed. How can I get my voice heard at a committee meeting? Just after the committee meeting is called to order the audience members are given an opportunity to speak. Once that time is completed the audience members are asked to refrain from talking and asking questions to ensure that committees can discuss the subject at hand without significant interruption. The committee members may also be listening to experts about the issues before making decisions. The committee may make a motion to approve a specific decision. What if a motion is made that I don’t agree with? Remember that final decisions are always made by the Board of Directors. So, if a motion is made by a committee, that motion will be addressed at the board meeting held later that same month. The process for speaking at the board meetings is the same as the process for speaking at a committee meeting. If you have concerns regarding a motion that is going before the board, you have several options. First, you may write the board members prior to the board meeting to let them know your concerns. If you believe others will have the same concerns that you have, you may ask others to write the board as well. Additionally, you may speak at the beginning of the board meeting prior to the board voting on the motions presented to them in each of the committee reports. Given enough additional community concern, the board may decide to table the decision for further review. There are a few things to remember when you are attending committee meetings and board meetings. First, most issues that are being discussed have been discussed at several meetings. A lot of research and past information has been addressed and considered. What you are hearing at one meeting is usually the tip of the iceberg on any given issue. If you would like to educate yourself on issues, consider going to the Windsor Gardens website and reading past meeting minutes that address your issue of interest. I hope this broadens your understanding of the committee process. If you have the time to participate, I highly recommend it. The Day-to-Day FHA Re-Certification was approved on August 16, 2018, and will be effective through August 16, 2020. Capital Projects ƒ ƒ Townhome Project: The shutters have been removed from the townhomes. The stucco work is close to completion and the lights have been installed. In placing the lights on the stucco, small holes were created. Those will be repaired soon. There is still siding work that needs to be completed to finalize the project. ƒ ƒ Underground Garage Project Update: The underground garage project is progressing well. The cover has been completely cleared. Vector Corrosion Services has completed their testing, and we have received the report. It will be reviewed at the October Underground Garage Subcommittee meeting. Western Waterproofing has completed their chain drag testing. They are currently exposing random areas in the concrete to further determine if any of the tendons are damaged. To date there are no tendon repairs called for. Again, this information will be thoroughly discussed at the October meeting. Vector has been installing the cathartic protection system for the past two weeks. We will need to repair a gas line and the meter will need to be replaced as well per Xcel. ƒ ƒ Hallway Decorating Project: Buildings 25, 15, 18, 30 and 22 have selected their hallway paint and carpet schemes. Work began this week in Building 18 with the removal of the wallpaper. The carpet is completed in Building 53.The Architectural Review Committee moved to add a painted stripe to the left of each door in the color of the door per each scheme. They have also moved to reuse the current door marker system rather than find a replacement model. That work is being completed in Building 53. Activities ƒ ƒ The pool stayed open for two extra weeks and has now been closed successfully. All the pool furniture has been stored in the old maintenance shop. We did not allow residents to lounge in the pool area after the pool closed as we have in the past due to safety and liability concerns. ƒ ƒ The pool tables have been re-felted and leveled. General Maintenance / Heating and Plumbing / Electrical ƒ ƒ Carpets were cleaned in Building 46, A floor; Building 40, A floor; the office reception area; Building 30, A and B floors; Building 1, Building 20, A floor; Building 63, C floor; and all four floors in Buildings 27 and 41. ƒ ƒ The restaurant roof was repaired with new decking and some additional cricketing, and then re-roofed with TPO roofing. ƒ ƒ We replaced the air handling unit motor in Building 22. ƒ ƒ Light repairs were done at the townhomes to repair faulty wires on lighting on east path.
